Managing Customer Slots and Plan Limits
Understanding how customer statuses interact with your plan’s capacity is key to managing your account effectively. Your limit is based on Occupied Slots. Depending on the status assigned, a customer will either occupy a slot or be excluded from the count.
⭐ Plan Capacity Overview
Our software offers three plan levels of service, each with a specific customer limit:
| Plan Level | Customer Slot Limit |
|---|---|
| Starting | 125 Customers |
| Growing | 250 Customers |
| Enterprise | 500 Customers |
👉🏼Statuses That Occupy a Slot
The following statuses are considered "Active" for billing purposes. If a customer is assigned any of these, they will occupy one (1) slot in your plan:
Active: Standard users currently using the platform.
No Portal: Customers in the system who do not have portal access.
Suspended: Accounts that are temporarily paused but still retain their data and slot.
Pending: New customers awaiting onboarding or activation.
Example: If you are on the Starting Plan (125 limit) and import 125 customers under these statuses, you will reach your limit and must free up space or upgrade to add more.
👉🏼Statuses That Free Up Slots
To make room for new customers, you can change a record to any of the following. These do not count toward your plan limit:
Completed: For customers who have finished their journey with you.
Inactive: For accounts that are no longer operational.
Canceled: For customers who have ended their subscription or service.
Moving a customer to one of these three statuses instantly frees up a slot for a new "Active" customer.
♾️Leads and Prospects (Unlimited)
Unlimited Capacity: You can import an unlimited number of Leads or Prospects.
No Restrictions: These never count toward your plan limit, allowing you to grow your pipeline without hitting a ceiling.
📌A Note on Custom Statuses
You can create Custom Statuses to better fit your specific workflow. However, keep in mind: Custom statuses inherit the rules of their parent category.
Example: A custom status called "VIP Active" will still occupy a slot because it falls under the Active umbrella.
Example: A custom status created for a Lead will remain unlimited.
↗️How to Increase Your Capacity
If you have reached your plan limit, you have two ways to add more customers:
Upgrade Your Plan: Move to a higher plan (e.g., Starting Plan to Growing Plan) to increase your total capacity.
Customer Block Add-on: Purchase a specific "block" of additional slots if you aren't ready to move to the next full plan level.
